Warranty, Returns, Terms & Conditions

At XGaming Systems, we want our customers to be completely satisfied with their purchase and to clearly understand both their rights and our policies.

Before placing an order, we strongly recommend that you carefully read this Warranty, Refund, Returns and Repairs Policy. This will help you understand our processes and your rights under the Australian Consumer Law (ACL).

We also recommend that you inspect all goods immediately upon delivery or collection to ensure they:

  • Are of acceptable quality

  • Match the description provided

Returns (Change of Mind)

Please choose carefully. Returns can be time-consuming and costly, so we encourage you to:

  • Research system specifications thoroughly

  • Confirm your personal requirements

  • Review your order carefully before checkout

If you are unsure about anything, please contact us before purchasing.

XGaming Systems does not offer returns for change of mind by default. However, at our sole discretion, we may approve a return on a case-by-case basis.

Approved Change-of-Mind Returns

If a return is approved:

  • Items must be returned within 7 days of purchase

  • Refunds will exclude shipping costs

  • Return shipping is the responsibility of the buyer

  • A 25% restocking fee may apply to all systems

The restocking fee covers labour required to reset, clean, test, re-check, and relist the system.

Returned items must:

  • Be in the same condition as received

  • Be undamaged

  • Include original packaging, manuals, and accessories

All software sales are final.

Refunds will be processed within 7 business days after the item is received and inspected. We reserve the right to refuse a return or issue a partial refund if goods are returned damaged, mistreated, or incomplete.

 

Consumer Guarantees (Australian Consumer Law)

Your purchase is covered by Consumer Guarantees under the Australian Consumer Law.
Please refer to the ACL Consumer Guarantees for further information.

 

Shipping

We ship orders only to the address provided at checkout. Please ensure your delivery details are correct, as addresses cannot be changed once an order is placed.

If an incorrect delivery address is provided, please contact us as soon as possible. Due to PayPal’s fraud prevention policies, we are unable to modify the shipping details on PayPal orders. These orders must be cancelled and resubmitted with the correct shipping information. Please note that payment processing fees may apply when cancelling PayPal orders due to incorrect address details.

We ship via Australia Post or Aramex Australia. A tracking number will be provided once your order has been dispatched.

  • Freight costs are the responsibility of the customer unless otherwise stated

  • Free shipping may apply to selected systems or promotions

  • All shipments are insured against loss or damage

If there are any shipping delays or issues, please contact us and we will work with the courier to resolve them promptly.

 

Goods Damaged in Transit

If goods arrive damaged:

  1. Immediately email our Sales Team

  2. Do not continue unpacking the goods

  3. Provide clear photos of:

    • The damage

    • The external packaging

Delays in reporting damage may result in the issue being deemed customer-caused and not covered.

XGaming Systems will arrange the return of damaged goods and will either:

  • Provide a replacement, or

  • Issue a refund

Damaged goods must be returned with all original packaging, manuals, and accessories.

 

Refunds

Refunds are generally processed within 7 business days, subject to inspection and assessment.

For electronic refunds, customers are responsible for ensuring correct account details are provided. XGaming Systems is not responsible for delays or losses due to incorrect information.

Deposits are non-refundable, but may be used as store credit.

 

Returns & Repairs

If a return or repair has been approved:

  • Items may be returned via mail by contacting our Sales Team

  • Local customers may arrange drop-off at our pickup location

A XGaming Systems staff member will assist with inspection, repair, replacement, or further arrangements.

Goods must be returned within our 7-day return window (where applicable).

If goods cannot be easily returned due to size, installation, or fault type, please contact our Sales Team to determine the best solution.

 

Repairs & Assessments

  • Repairs will be completed within a reasonable timeframe

  • Estimated repair times may vary due to factors such as part availability

Assessment, labour, or freight fees may apply if:

  • Damage is caused by misuse or accident

  • The issue is not covered under ACL or warranty

Indicative fees may be provided but are subject to change.

 

Data Responsibility

If returned goods store user data (e.g. files, phone contacts, media):

  • Repairs or replacements may result in data loss

  • Customers must back up and remove sensitive data prior to return

XGaming Systems is not responsible for any data loss.

In some cases, goods may be replaced with refurbished items of equal type and performance, or equivalent components may be used based on stock availability.

 

Warranty Coverage (Important)

All XGaming Systems products include a Return-to-Base Hardware Warranty.

Warranty Period

  • New systems: 24 months (730 days)

  • Refurbished systems: 12 months (365 days)

Warranty begins from the invoice payment date.

Return-to-Base means the system must be returned physically to us. Please contact us to arrange.

 

What Is Covered

  • Physical hardware failures under normal, recommended use

  • Original components or accessories supplied and installed by XGaming Systems

What Is Not Covered

  • Software issues or operating system problems

  • Viruses, malware, or corrupted files

  • Incompatibility with third-party hardware or software

  • User-installed components

  • User-caused damage or negligence

  • Environmental damage (water, humidity, power surges)

  • Overclocking or mining

  • Misuse or improper operation

Covered

  • Power supply failure under normal use

  • Faulty RAM under normal use

Not Covered

  • Virus prevents system from booting

  • Damage caused during self-installation of hardware

  • Overclocking damage

  • Storm damage without surge protection


Overclocking

Our warranty does not cover any failures or issues caused by overclocking tools.

If overclocking software is found to be installed and linked to the fault, XGaming Systems reserves the right to refuse the warranty claim.
